Job Description:

Office administrator

A Dobbs Ferry, NY, non-profit organization seeks a full-time office administrator.

This role is 5 days onsite during the hours of:
Monday/Tuesday: 9:00 am - 5:00 pm
Wednesday: 10:30 am - 6:30 pm during the school year, otherwise 9:00 am-5:00 pm
Thursday: 10:30 am - 6:30 pm
Friday: 9:00 am-3:00 pm on Fridays.

Duties:
1. Be the public face of the organization: greet members and visitors
2. Answer phone calls and emails; respond to questions
3. Sort and distribute incoming mail
4. Create, edit, and update database accounts for members and participants
5. Work with the bookkeeper on donation letters, edit, print, and mail those letters
6. Prepare and send mailings promptly
7. Order and maintain office supplies
8. Prepare reports upon request based on data in our databases
9. Attend to office projects and provide administrative support for other projects
10. Ensure that the office is keeping to its budget
11. Coordinate productively with other staff members, professionals, leadership, and volunteers
12. Maintain an organized and professional office environment

Requirements:

Skills/Requirements
1. Good people, person-welcoming and friendly. Able to listen to people and respond to their questions, concerns, and comments over the phone, in person, and by email.
2. Team players must be able to work collaboratively as part of a team of administrative and professional employees and with the organization`s volunteer leaders and committees.
3. Excellent written and oral skills.
4. Ability to manage both long-term and short-term projects. Able to work on projects and meet deadlines without constant supervision.
5. A high level of discretion and sensitivity is critical to this position. Ability to handle confidential information professionally.
6. Excellent organizational skills and the ability to stay focused. Detail-oriented.
7. Strong computer skills, especially Microsoft 365 suite and Office desktop software. Experience with client relationship management systems or other database management systems is a plus.
8. Proficiency with other office equipment, such as a copier with booklet-maker, postage meter, and folding machine.
9. 3+ years of experience in an administrative/office position preferred.
