Administrative Assistant/Receptionist

Job Description:

Greenwich, CT based Financial Firm is looking to hire a temp to perm Administrative Assistant/Receptionist

  • Salary $65 - $70k/yr
  • Hours: 8:30 AM - 5:30 PM

  • Answer phone lines
  • Meet and greet
  • Maintain daily office attendance record
  • Kitchen maintenance and sterilization
  • Purchase and maintain office supplies
  • Maintain spreadsheet checklist for office supplies

  • Communicate with vendors
  • Collect mail and distribute daily
  • Schedule and prepare FedEx/UPS deliveries
  • Schedule and manage meetings

  • Prepare board books for quarterly board meetings (as backup)
  • Handle administrative tasks such as scanning, faxing, and filing
  • Management of the office filing system
  • Prepare expense reports
  • Prepare monthly American Express reports
  • Schedule car services
  • Water delivery maintenance: keep running inventory
  • Maintain office printers and keep an inventory of printer toners

  • Update extension chart with new/exited employees
  • Maintain an updated company contact list
  • Maintain board room before and after meetings
  • Check/maintain office shredders

  • Call building manager for maintenance
  • Assist the business manager with various assignments
  • Perform ad hoc tasks for various departments
  • Perform some personal tasks for President

Requirements:

  • Must have strong MS Office Suite skills
  • Bachelors Degree a plus
  • Financial Industry experience a plus
  • Must have 2+ years of administrative experience
