Job Summary:
We are seeking an Account Coordinator who is a highly organized and collaborative team player to join our Supply Chain Department. The department is fast-paced and requires a person who can handle multiple tasks simultaneously, learn quickly, and possess great follow-up skills. They must be able to work under pressure and meet deadlines. Coordinating with Sales, Graphics, Licensing team, manufacturers, distribution, and customers from product proposal to orders through delivery. This position supports the key customer orders and ensures that we meet the on-time delivery requirements.

If candidates have experience in Fashion and Jewelry, it is a major plus. Candidates with Sales Assistant, Purchasing, Wholesale, E-commerce, Account Management, or Customer Service will also be considered.

Duties/Responsibilities:

Responsible for the execution, administration, fulfillment, and overall needs of chain accounts, including but not limited to:

  • Assist in preparing new item set up form.
  • Daily communication with customers /vendors to resolve issues and ensure on time delivery.
  • Monitors product development issues and communicates with the team on resolutions, status, and potential delays.
  • Follow product life cycle from the development stage, through final production, ensuring timelines are met.
  • Process orders - Item Creation | Sales Order Entry | Purchase Order Entry
  • Order Cards, price tickets, and other special labels
  • Receipt and review of daily incoming pre-production, and TOP samples as well as distribution to customers. Maintenance of the sample log
  • Run in-house test reports required prior to shipment (or 3rd party testing lab if application).
  • Send Testing Report to the Customer's compliance team prior to shipment
  • Complete Spec Sheet for New items and follow up and approve photo images to send to the buyer.
  • Work with accounts on inventory planning, replenishments, and SKU#s if applicable
  • Coordinate with manufacturing to ensure that aspects of order fulfillment facilitate smooth delivery and service to customers, focusing on complete and on-time delivery.
  • Work with customers as needed to revise sales orders for delivery, cost, quantity, etc.
  • Negotiate product costs with suppliers. Handle Shipping and Logistical issues with merchandise from factories.
  • Manage the most effective use of import logistics services that reduce costs and improve cycle time
  • General production oversight, including supporting resolution of potential delivery problems. Sending weekly PO log or Urgent List to suppliers
  • Work with the internal production team to ensure accurate and on-time delivery date
  • Assure accuracy of invoicing related to procurement and correct all discrepancies on a timely basis
  • Perform other duties as assigned.

    Requirements:

    Required Skills/Abilities:
  • Minimum of two years of office experience in a related area, preferably in Sales, Order Fulfillment, Product Development, and/or Customer Service Management.
  • Familiarity with SAGE systems is a plus.
  • Knowledge of inventory control processes and materials management principles.
  • Excellent organizational skills and attention to detail are a MUST.
  • Ability to work independently as well as collaboratively within a team environment.
  • Strong communication skills, both written and verbal.
  • Proficient with Microsoft Office Suite (Excel, Word, Outlook).
  • Critical thinking and creative problem-solving skills.

    Physical Requirements:
  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
