Executive Assistant to the CEO

Time:
Full-time
Location: Abu Dhabi & Connecticut
Compensation: $150k capped. A base salary. Based on pay transparency guidelines, a reasonable expectation for the salary range is listed. The actual base salary will be dependent on relevant experience, skills, qualifications, and/or other job-related factors. As a part of the total compensation package, this role may be eligible to participate in a company bonus plan.

Overview
Seeking a highly organized and proactive Executive Assistant to work with the CEO.

Key Responsibilities
  • Travel Coordination: Assist in planning and organizing travel for the CEO and his family, including flights, accommodations, and ground transportation.
  • Special Projects Support: Take on support for special projects as requested by the CEO or his family. This may include research tasks, event coordination, and other critical activities.
  • Research and Data Compilation: Research various topics as directed and compile data for analysis and decision-making purposes.
  • Expense Management: Manage expense reporting processes including Concur reporting, submission of receipts, requests for reimbursements, and tracking of expenses.
  • Personal & Family Scheduling: Support in managing schedules for doctors’ visits, personal appointments, and other family-related activities.
  • Family Travel Partnership: Coordinate with the family’s support teams for comprehensive planning of family travels and event arrangements.
  • Draft clear, compelling, and visually appealing documents using PowerPoint and other mediums to bring a story or concept to life.

Requirements:

Qualifications
  • At least 5 years of experience serving in a senior administrative support position where you provided support as an executive assistant.
  • A minimum of 4 years of experience in executive travel coordination, including flights, lodging, and ground transportation.
  • You take great pride in the quality of your work; you are proactive, dynamic, flexible, tech-savvy, results-oriented, and a stickler for details! And you do it all with a smile!
  • Exceptional command of the English language, both written and spoken.
  • High degree of flexibility and the ability to work effectively in a multicultural environment.
  • Strong organizational and time management skills.
  • Proven ability to work independently as a self-starter.
  • Experience in a travel agency or similar role involving travel coordination is highly desirable.
  • Advanced knowledge of online software such as Google Workspace, Office 365, Zoom, and other popular productivity tools.
  • Ability to multitask with ease and prioritize work as needed.
  • Highly organized with excellent time management skills.
  • Ability to learn new tools quickly.
  • Excellent interpersonal communication.
  • Strong writing skills.
  • Ability to work independently and under the pressure of deadlines.
  • Solution driven.
  • Emotional intelligence and the ability to be resourceful when obstacles arise. Having a sense of urgency, and being proactive, along with strong prioritization skills, business judgment, and communication skills are crucial for this role.

    Additional Requirements
  • Valid US green card or US citizenship.
  • The candidate must be willing to relocate to Abu Dhabi for the majority of the year and spend summers in Connecticut.
  • No requirement to speak Arabic, but excellent English communication skills are essential.

Our ideal candidate is based in Miami. They need to be available to heavy travel to Connecticut and Abu Dhabi.
