Job Description:

Our client seeks a poised, high-energy, and dynamic Executive Assistant to join their New York City/CT team. The EA will provide high-level administrative support to the CEO as well as provide overall administrative support to the organization's passionate, efficient, and successful team.

The Executive Assistant must have excellent verbal and written communication skills and enjoy working in a small, fast-paced, mission-driven, entrepreneurial environment. This is a newly created role due to organizational growth.

Location: NYC/CT (hybrid with in-office expectation of 1-3 days per week)
Hours: 9-5:00 with occasional weekend/evening hours
Salary: $80-$100K

Essential Functions:

  • The Executive Assistant serves as the primary point of contact for internal and external constituencies regarding all matters related to the CEO's Office.
  • Maintain the CEO`s schedule of meetings and events, prepare travel, including international documentation requirements, and provide regular scheduling updates as needed.
  • Provide office support for the CEO, including maintaining supplies, processing department mail, responding to emails, and maintaining a system for disseminating and recording correspondence while maintaining strict confidentiality of sensitive information.
  • Attend meetings as required to take notes and support the CEO.
  • Respond to requests for information on behalf of the CEO and properly direct current and prospective donor inquiries.
  • Plan and coordinate various meetings and events as needed by organizing facilities, catering, transportation, equipment, entertainment, invitee list, attendees' name tags, and written materials.
  • Maintain the CEO`s contact list of officials, donors, and personal contacts.
  • Act as the point of contact between the executives and internal or external colleagues.
  • Assist other senior executives and special projects when asked.
  • Additional duties as necessary.
  • Some travel required.

Requirements:

Experience Required:
  • Bachelor`s degree required.
  • Minimum 5 years of high-level administrative support.

    Characteristics/Skills Required:
  • Must possess exceptional organizational skills, proficiency in managing schedules and travel arrangements, and the ability to prioritize tasks effectively.
  • Exceptional writing and interpersonal skills.
  • Proactive, anticipate the next action, and work with minimal instruction.
  • Must be comfortable corresponding and interacting with C-Suite-level executives, political dignitaries, celebrities, and people of influence both internally and externally.
  • Ability to communicate and effectively interact with people across cultures, ranges of ability, genders, ethnicities, and races.
