Job Description:

Position Name: Investor Relations Junior Administrative Assistant
Location: Greenwich, CT

Our client is a registered investment adviser that focuses on global credit investing. Founded in 2002, our client was designed and built to have the deep resources, expertise, and capital needed to invest in the global credit markets. Our client's business model seeks to capture synergies across its platform, build comparative advantages in every area of the Firm, hire and train exceptional people, and establish a culture of teamwork. Today, our client has about 320 employees and manages approximately $27 billion in investible assets.

Job Summary
4-5 years' experience, no more than 10 years. The Hours are 8:30 am-6:00 pm, flexible OT (to 7-8). 5-6 virtual interviews, final in-person interviews with two or three team members. Hybrid position, 3 days in the office, 2 at home. The investor relations department may need to come in on Thursdays and Fridays as investors frequent the office on these days.

Concur software for all expenses. Need to hire ASAP!

The Ideal candidate will be polished and professional. They must have heavy calendaring experience, as they expect 20-30 meetings daily. They must also have experience with national/international travel arrangements and visas and have investor relations experience with a financial services company like a hedge fund or private equity firm.

Role and Responsibilities
Investor Relations is looking for a high-caliber Administrative Assistant to join a team of people supporting the IR and Marketing teams. This person must be capable of multitasking in a fast-paced environment, be extremely organized, and have superb follow-through skills.

Specific responsibilities will include the following:

  • Heavy internal and external meeting scheduling
  • Responsible for tracking investor calls, meetings, prospect mailbox, and other departmental processes
  • Preparing meeting materials (presentations, books, bios, etc.)
  • Travel arrangements, including detailed itineraries
  • Assist with planning and execution for both internal and client events
  • Preparing expense reports for the department.
  • Assistance with ad-hoc projects, including firm-wide events, philanthropy, and brand management

Requirements:

Skills and Requirements
  • 5+ years of solid administrative experience with a track record of professional success; financial services experience strongly preferred but not essential.
  • BA/BS preferred with solid academic performance.
  • Knowledge of Microsoft Office products.
  • Exceptional organizational skills and attention to detail
  • Experience with event planning is highly preferred.
  • Ability to maintain processes and meet deadlines.
  • Excellent judgment and someone who takes pride in their work.
  • Maturity and high degree of professionalism
