Job Description:

Stamford, CT based Law Firm is looking to hire a temp to perm RECEPTIONIST

Responsibilities and Duties:

  • Responsible for the opening and support coverage of reception desk and front lobby reception area during regular business hours (8:30 am-5:30 pm).
  • Communicate with the building security desk regarding office visitors, and any other building-related needs (security cards, HVAC needs, repairs).
  • Greet visitors and clients upon arrival at the office.
  • Answer switchboard phones, route calls to appropriate offices/voicemail, take written phone messages, and deliver via email or in person. Ensure that messages are complete and relayed promptly.
  • Maintain meeting calendars, conference room schedules, and office supplies inventory.
  • Make catering arrangements for in-office meetings; assist with set up and breakdown of conference rooms before and after meetings.
  • Assist with daily incoming and outgoing mail and FedEx packages for the office.
  • Arrange for couriers, notaries, and transportation (taxi, building shuttle) as requested.
  • Transmit documents to clients, courts, municipalities, and other such agencies via the appropriate method of service.
  • Perform word processing, data entry, and general administrative tasks, such as scanning and filing documents.

  • Ensure attorney files are generated, opened, and maintained; file and maintain documents in physical files and document management system. Arrange for off-site storage of files as requested.
  • Provide support to the attorneys, legal assistants, and other staff, for the smooth operation of the office.

Requirements:

Required Knowledge, Skills & Abilities:
1. Knowledge of correct grammar and punctuation.
2. Ability to communicate clearly and effectively, both orally and in writing.
3. Ability to use office equipment.
4. Desire to work in a fast-paced environment.
