Front Desk Administrative Assistant

Job Description:

Our client in Greenwich is currently seeking a versatile administrative assistant that can serve as a front desk receptionist, office manager and executive assistant!

Receptionist Responsibilities:

  • First point of contact for all employees and guests at front entrance
  • Greeting and seating guests
  • Answering phones and directing calls to appropriate person
  • Ordering supplies for kitchens, workrooms and employees as needed
  • Ordering lunches as needed for employees and catered meetings
  • Reserving/confirming meetings and calls for investment professionals
  • Sorting and distributing mail daily
  • Maintaining an organized and well-stocked office (kitchens, conference rooms and workroom)
  • Scheduling various service vendors: (heating/AC repairs, light replacements, FedEx/UPS pickups, etc.)
  • Tracking daily vacation and working schedules of employees
  • Additional ad-hoc responsibilities as needed for the office

Executive Assistant Responsibilities:

  • Coordinating/booking travel for investment professionals
  • Managing portfolio company board meeting needs (travel, dinners and catering)
  • Processing expense reports for investment professionals as needed
  • Preparing and binding marketing presentations
  • Additional ad-hoc responsibilities as needed for investment professionals


  • Bachelor's degree required
  • Previous experience in the financial services industry required
  • Detail-oriented
  • Ability to multitask
  • Extensive knowledge of the Microsoft Office Suite a must
